Email 1 – Relationship Mapping Request

Subject: Help Us Identify the People Who Can Power Our Mission

Dear [Board Member Name],

As a board member, you already play a critical role in helping our organization grow, strengthen, and serve more people. Today, I want to invite you into a process that will help us take a giant step toward our mission — by identifying the people, businesses, and organizations who are most likely to support our work in a meaningful way.

We call this process Relationship Mapping.
It’s simple but powerful: we list the people and entities you already know who have a natural reason to care about what we do. These are not random cold leads. They are warm connections who either:

Have a relationship with you personally
Share a lived experience with the people we serve
Have values, resources, or public image goals that align with our mission
From Step One of our funding strategy, and from our targeted AI research, here’s exactly what we’re looking for:

1. Relationships you’ve already invested in
Think of individuals you’ve worked with, helped, supported, or collaborated with — people who trust you, respect you, and would likely take your call.

2. People who have triumphed over the challenge we address
Those who have personally experienced the need we meet and have come out on the other side often have a deep empathy and a strong desire to give back.

3. People who want to do something about this problem
These are people in your network who are naturally compassionate toward our cause and have the drive to help.

4. Businesses or organizations that could benefit from supporting us
Some companies would gain positive visibility and goodwill from associating with our mission. This could include local businesses, corporations, or professional associations.

5. People, organizations, businesses, government agencies, and grantors that match our AI-researched profiles
From our AI search, we’ve identified high-affinity groups for our mission, including:

[Insert AI profile example #1 – e.g., “Faith-based organizations in Buffalo with active outreach ministries”]
[Insert AI profile example #2 – e.g., “Local developers and real estate investment firms focused on revitalizing urban neighborhoods”]
[Insert AI profile example #3 – e.g., “Healthcare providers specializing in addiction recovery and mental health services”]
[Insert AI profile example #4 – e.g., “Buffalo-area family foundations focused on poverty alleviation”]
[Insert AI profile example #5 – e.g., “City and county government agencies managing housing and homelessness programs”]
Your task:
Please take 15–20 minutes to complete our Relationship Mapping Form. You’ll be asked to list:

The names of people you know personally and their contact details
The organizations, businesses, or agencies you have connections to
Any other contacts you know who fit our identified high-affinity profiles
Here’s the link to the form: [Insert Relationship Mapping Form Link]

Your input will directly shape our list of ideal funders and open doors to partnerships and resources we might otherwise never reach. Together, we can strategically connect with the people who already have a reason to support us.

Thank you for your time and commitment to our mission. This step will make a significant difference in how quickly we can grow our impact.

With gratitude,
